A buyer who manages purchasing with Stockroom has invited you to connect on Stockroom Network. Once you accept, the purchase orders they send you arrive directly in your Stockroom - matched to your products, ready to confirm, create in your store, and ship. Stockroom is free, and so is connecting.
Accept the invitation
The invitation arrives by email and can only be used once. Open Review the invitation and pick the path that fits:
Accept in Stockroom opens Stockroom in your Shopify admin and shows who is asking and exactly what a connection shares. Nothing is shared between the stores until you choose Accept and connect.
New to Stockroom? Choose Get Stockroom - free to install it from the Shopify App Store, then return to the invitation page and choose Accept in Stockroom.
Prefer to paste the code? In Stockroom, open Settings, find Stockroom Network, paste the invitation code and choose Review invitation.
Invitations expire after 14 days - if yours lapsed, ask your buyer to send a fresh one (it takes them one click).
Review incoming orders
Once connected, a Network item appears in Stockroom's navigation. Each order your buyer sends shows up under Incoming orders, and you also get an email notification. Open an order to review its lines:
Lines Stockroom recognized show Matched - they already point at your own products.
A line marked No match needs your SKU once: enter it under Your SKU or barcode, choose Find, then Match this. Stockroom remembers the match for every future order from that buyer, and offers your SKU back to them so their next PO arrives pre-matched.
Not a real order? Decline order removes it from your queue - your buyer sees it was declined on their PO.
Create it in your store
Choose Create draft order in my store to turn the PO into an order in your own Shopify admin. Stockroom asks for the Shopify permission the first time - it is never requested at install. Matched lines are created on your own variants; unmatched lines become custom items, so nothing is dropped.
Each connection has its own settings - choose Settings on the connection under Buyers who order from you: How incoming orders are handled (review each order first, or create automatically) and Create as (draft order or a real order that lands straight in your Orders).
Prices on the created order are your buyer's expected prices, and they carry over only when the PO currency matches your store currency - otherwise your own catalog prices are used and the order gets a review note. Draft orders are the default, so you can check pricing before anything counts.
Ship the order
Fulfill the order in your Shopify admin the way you normally would - that is the ship notice. Stockroom picks the fulfillment up, usually within about ten minutes, flips your buyer's PO to On the way, and passes along the tracking number, carrier and delivery estimate from the fulfillment itself. Their receiving screen prefills with what you shipped, and a second parcel crosses the same way when you fulfill the rest.
Created it as a draft order? Complete it first - a draft order cannot be fulfilled, so nothing reaches your buyer until it becomes a real order.
Not creating the order in your store at all? Choose Mark as shipped on the incoming order instead - tracking number, carrier and expected date are optional, and per-line quantities default to whatever has not shipped yet. Sending another parcel later? The same order offers Ship more. Mixing the two is safe: your buyer is never told the same goods shipped twice.
Good to know
Only the purchase orders that buyer sends you cross the connection, plus business contact details. Your costs, prices and margins never cross.
You can disconnect at any time with Disconnect on the connection - either side can. Disconnecting stops anything new from crossing, but never deletes documents already shared.
Your buyer confirms what actually arrives - a ship notice never auto-receives anything on their side.
Only fulfillments that went out count. A fulfillment you cancel in Shopify is never sent as a shipment, and quantities are capped at what your buyer ordered.
