Stockroom Network connects your Stockroom with your suppliers'. Invite a supplier - once they accept, the purchase orders you send them arrive directly in their Stockroom, matched to their catalog with nothing to re-type. When they fulfill it, your PO flips to On the way with tracking, and receiving is prefilled from what they shipped. Stockroom is free for your suppliers too, and connecting costs neither side anything.
Why connect a supplier
Connecting removes the gap between sending a purchase order and somebody at the other end typing it back in:
It arrives in seconds, not days. Mark the PO ordered and it is in their Stockroom immediately - no inbox to wait on, and no one to three days lost before the order even exists on their side.
Nobody re-types it, so nobody mistypes it. Lines arrive matched to their catalog through the supplier SKUs you already keep. An ambiguous code is surfaced rather than guessed.
The status comes to you. They fulfill in their own Shopify admin, your PO moves to On the way with their tracking, and receiving is prefilled with what actually shipped.
It is free for both sides, nothing crosses until your supplier accepts, and either side can disconnect at any time.
Invite a supplier
The Network column on the Suppliers page shows where each supplier stands:
Connected - POs you mark as ordered are relayed to this supplier automatically.
Invited - your invitation is waiting on their side. Invitations stay valid for 14 days.
On Shopify - this supplier's store runs on Shopify, so they can connect with one click.
Not connected - invite them anytime from their supplier page.
The quickest way is straight from the list: any supplier you can connect with shows an envelope button in the Network column. Click it and the invitation dialog opens on the spot. You can also open the supplier's page and use the Stockroom Network card - Invite to connect.
The dialog explains what Stockroom Network is, what it changes for you and for your supplier, and exactly what a connection shares. It also holds the Supplier email the invitation goes to - if you have not recorded one yet, you can type it right here, and it is saved as that supplier's email so purchase orders go to the same place. While an invitation is pending you can Resend invite or cancel it from the supplier's page.
What happens when you order
On a PO for a connected supplier, the primary button reads Order via Network - and a Network badge appears by the supplier, on the PO and on the purchase orders list, so you know before you order. The button does everything Mark as ordered does, and relays a copy into your supplier's Stockroom - the PO shows it sending, and a Sent via Network! toast confirms within a few seconds. Lines are matched to their catalog: your recorded supplier SKUs first, then your own variant SKUs - an ambiguous code is left unmatched rather than guessed. Your PO shows the relay echo: Sent to your supplier via Stockroom Network with how many lines matched.
When your supplier matches a line to their own product, Stockroom offers their SKU back to you as a save prompt on the PO - accept it and every future PO for that item arrives pre-matched.
Shipping and receiving
When your supplier fulfills the order in their own Shopify admin, your PO flips to On the way on its own - usually within about ten minutes. A shipment row records the tracking number, carrier and delivery estimate that came with their fulfillment, and the receive screen prefills with what they shipped. A supplier who does not run the order through their own admin can send the notice by hand instead, and it reaches you exactly the same way. Nothing is ever auto-received - you confirm what actually arrives.
What is shared (and what never is)
Nothing is shared until your supplier accepts the invitation inside their own Stockroom.
Only the POs you send that supplier cross the connection, plus business contact details.
Your costs, margins and sales data never cross. Your supplier never sees what you sell things for.
Either side can disconnect at any time - Disconnect on the supplier's Stockroom Network card. Disconnecting stops anything new from crossing, but never deletes documents already shared.
Good to know
The relay starts with POs you mark as ordered after connecting - older POs are not sent retroactively, and edits made after sending are not re-sent.
The "already on Shopify" hint keys on the supplier's email domain - a supplier using a personal address (gmail and similar) will not show it, but you can still invite them.
Declining an invitation is anonymous - you will just see the invitation is no longer open.
