Connect with your suppliers on Stockroom Network

Stockroom Network connects your Stockroom with your suppliers'. Invite a supplier - once they accept, the purchase orders you send them arrive directly in their Stockroom, matched to their catalog with nothing to re-type. When they fulfill it, your PO flips to On the way with tracking, and receiving is prefilled from what they shipped. Stockroom is free for your suppliers too, and connecting costs neither side anything.

Connecting removes the gap between sending a purchase order and somebody at the other end typing it back in:

It is free for both sides, nothing crosses until your supplier accepts, and either side can disconnect at any time.

The Network column on the Suppliers page shows where each supplier stands:

The quickest way is straight from the list: any supplier you can connect with shows an envelope button in the Network column. Click it and the invitation dialog opens on the spot. You can also open the supplier's page and use the Stockroom Network card - Invite to connect.

The dialog explains what Stockroom Network is, what it changes for you and for your supplier, and exactly what a connection shares. It also holds the Supplier email the invitation goes to - if you have not recorded one yet, you can type it right here, and it is saved as that supplier's email so purchase orders go to the same place. While an invitation is pending you can Resend invite or cancel it from the supplier's page.

On a PO for a connected supplier, the primary button reads Order via Network - and a Network badge appears by the supplier, on the PO and on the purchase orders list, so you know before you order. The button does everything Mark as ordered does, and relays a copy into your supplier's Stockroom - the PO shows it sending, and a Sent via Network! toast confirms within a few seconds. Lines are matched to their catalog: your recorded supplier SKUs first, then your own variant SKUs - an ambiguous code is left unmatched rather than guessed. Your PO shows the relay echo: Sent to your supplier via Stockroom Network with how many lines matched.

When your supplier matches a line to their own product, Stockroom offers their SKU back to you as a save prompt on the PO - accept it and every future PO for that item arrives pre-matched.

When your supplier fulfills the order in their own Shopify admin, your PO flips to On the way on its own - usually within about ten minutes. A shipment row records the tracking number, carrier and delivery estimate that came with their fulfillment, and the receive screen prefills with what they shipped. A supplier who does not run the order through their own admin can send the notice by hand instead, and it reaches you exactly the same way. Nothing is ever auto-received - you confirm what actually arrives.

A connected supplier can publish their price list to you through Stockroom Network. When they do, open the supplier's page and choose the Price list tab - a banner reading Price list update from that supplier appears whenever something changed, and Review prices opens the details.

The review shows each item old and new, with quantity breaks and any future effective date, and nothing touches your records until you choose Accept selected. A price you entered yourself is marked You set this price and starts unticked, so the feed never replaces your own numbers unless you say so. Items your supplier no longer offers stay on your list unless you tick Remove these prices from my list.

Future price updates in the same dialog decides how later changes arrive: Ask me each time (the default), Apply price drops automatically, or Apply all changes automatically. Accepted prices flow into everything that already reads your price list - purchase order prefill, reorder suggestions, cheaper-supplier hints - and a price change never rewrites a purchase order you already sent. If their list is in a different currency than your supplier record, the review points it out and offers to switch the record - prices are never converted.

A supplier who shares their catalog adds a third view to their supplier page: Shared catalog, beside Details and Price list. It lists everything they publish to you, grouped the way they sell it, with quantity price breaks and pack details where they share those - and filters for All, New, Linked and Price changed.

Items Stockroom recognizes as products you already carry offer Link: one click records that supplier's part number, pack and minimum order against your own product, so future orders match automatically. Their published prices for a linked item then arrive under your Future price updates setting - nothing is ever written silently.

A product you don't carry yet offers Add to my store. Stockroom creates it in your store as a draft - variants, description and image included when your supplier shares them - and wires everything in the same step: their part numbers, pack details, and their published prices onto your price list. You set your own selling price before it goes live, or tick Create it as an active product instead of a draft. Their price becomes the product's cost only when their list is in your store's currency.
