Picking and packing orders with pick lists

Make a pick list from Shopify orders, pick in bin order with a scanner, verify at the bench, then fulfill or hand the label to Shopify.

A pick list turns Shopify orders into one walk through the stockroom: lines in bin order, a scanner to pick, a second scan at the bench to verify, then the order is fulfilled or handed to Shopify for its label. Picking never changes your inventory - Shopify already holds the units as committed, and the fulfillment does the deduction, exactly as it would from the admin.

Picking is off until you turn it on, and it is part of the free core alongside purchase orders and receiving.

Turn picking on

Open Settings and choose Picking. Tick Picking is on. Two more settings live beside it:

  • When an order is packed - the finish the bench pre-selects: Hand off to Shopify (mark it packed here, buy the label on the order in Shopify) or Fulfill in Stockroom (type the tracking here and Stockroom creates the fulfillment). Pickup orders always finish with Ready for pickup. Packers can change the finish per order.

  • Verify each item by scan at packing - on by default. Off, packing is one tap per order.

Turning it on adds a Pick lists view under Inventory and a Pick with Stockroom action on the Orders page in Shopify.

Make a pick list

There are three doors, all leading to the same list:

  • In Stockroom, open Inventory, choose Pick lists, then New pick list. The dialog reads the orders waiting to be picked straight from Shopify - open, unheld, not scheduled for later - and shows each order's location, delivery method and line count. Tick what you want and choose Create.

  • On the Shopify Orders page, select orders and choose Pick with Stockroom from the bulk actions.

  • On one order in Shopify, open More actions and choose Pick this order.

Orders at different locations become separate lists, one per location. An order already on an open list is never added twice - the dialog shows which list has it.

Pick

The list opens in pick mode. Lines are sorted by bin, using the bin locations on each product's stock settings at that location, with lines that have no bin at the end. Switch to By order to walk one order at a time instead.

  • Scan a product's barcode or SKU and the matching line goes up by one. A code that is not on the list, or a line that is already fully picked, plays the miss sound and says why.

  • Type a count in Picked, or choose Pick all on a line.

  • Choose Short when the shelf has fewer than needed. Say what happened (not in the bin, damaged, none in stock) and what to do about the rest. Count this bin asks how many units of the item are at the location right now (the dialog starts from Shopify's on-hand count there) and applies a stock adjustment for the difference - a real adjustment, linked from the line, so the count is fixed without leaving the aisle. Order more puts the missing units on a draft purchase order for the item's supplier at that location; shortfalls from other picks join the same draft, and the line links to it. Pick what's there ships what was picked and leaves the rest open on the order. Every short pick is recorded in the list's history. An item Shopify does not track cannot be counted, and a product with no vendor has no supplier to order from - the dialog says so and you can choose another option.

When every line is picked or short, choose Mark picked. The list moves to the bench. Back to picking reopens it if something was missed - nothing has reached Shopify yet.

Picker links let staff without a Shopify login pick from their phone. On a list that is being picked, choose New picker link under Picker links, type the picker's name and send them the link - it is shown only once. The page shows the list's lines in bin order with the order number, product, SKU and picked count, and nothing else: no stock levels, no customer details. They scan with a scanner or the camera, tap +1 or Pick all, and can record a Short pick with a reason (the count and order-more options stay with staff in the admin). Their picks land on the list instantly under their name. Choose Revoke to turn a link off; every link stops working the moment the list leaves picking.

Pack and finish

In pack mode the bench works one order at a time - choose the order at the top. Packing slip prints the slip for the box: your logo, the order number, the items in this box (and what follows if a line was short) and the ship-to address, which Stockroom reads from Shopify when you print and never stores. With verification on, scan each item as it goes in the box; a scan that belongs to another order on the list is called out by name. Then choose Mark all packed (or Mark packed with verification off) and pick a finish:

  • Fulfill in Stockroom - enter the tracking number, carrier and an optional tracking link, choose whether to notify the customer, and choose Fulfill order. Stockroom creates the fulfillment in Shopify. The first time, Shopify asks you to grant Stockroom permission to fulfill orders.

  • Ready for pickup - for pickup orders. Shopify sends its own ready-for-pickup notification; mark it picked up in Shopify or POS as usual.

  • Hand off to Shopify - the order is marked packed here. Buy the label on the order in Shopify; Stockroom sees the shipment once it is fulfilled.

Short-picked units stay open on the order in Shopify, so finishing ships a partial order and the rest can be fulfilled when stock arrives.

Print the pick list

Print pick list on the list makes a PDF: tick boxes, bins in walk order, and one barcode per order so the bench can scan an order open. It prints in English, with no prices and no customer details.

Keeping in step with Shopify

Shopify stays the truth. If an order is edited, cancelled, moved to another location, put on hold, or fulfilled in the admin after the list was made, the list updates itself and shows a banner naming the order and what changed. Lines that no longer exist come off the list; nothing else is changed for you. Check for changes re-reads the orders on the spot.

Good to know

  • Picking never writes to inventory. The only inventory change is the fulfillment itself, which Shopify makes.

  • Stockroom keeps the order number and the lines. It stores no customer name or address.

  • A finished list is permanent. Cancelling a list writes nothing to Shopify and puts the orders back in the waiting list.

  • Turning picking off keeps finished lists readable.

  • A pick list covers Shopify's merchant-managed locations. Orders routed to a fulfillment service are not picked here.
