Transfers: move stock between locations

Stockroom suggests what to move between locations, creates the draft in Shopify, and receives shipments with barcode scanning - plus labels.

Transfers move stock between your locations. Stockroom doesn't replace Shopify's transfers - it works on top of them. Every transfer you create in Shopify admin shows up in Stockroom automatically, and Stockroom adds the parts admin doesn't have: suggestions for what to move, barcode receiving, and labels.

You'll find everything under Inventory, in the Transfers view.

Creating a transfer yourself

Press New transfer in the Transfers view to build one on its own page. Pick the From and To locations, then press Suggest to fill it with what the destination is short of and the origin can spare - how that is worked out is in Suggested transfers - or add items yourself:

  • Scan a barcode (each scan adds 1), type a couple of letters to search by name or SKU, press Browse products to open the product picker (it filters by vendor, product type, tag, status, stock - including Below reorder point - and a Bin from / Bin to range, so an aisle's worth of low items is one Select all; the filters are explained in Browse your catalog from a purchase order), or press Import or paste to bring in a file - or rows pasted straight from a spreadsheet.

  • The import needs just a SKU or barcode column - a quantity column is optional (rows without one count as 1 each) - and nothing is added until you confirm what matched. Importing a corrected file again updates the same lines instead of doubling them.

  • The At origin and At destination columns show each item's stock before and after the move, at both ends, updating as you change quantities - so you see exactly what the transfer will do before you create it.

  • Add a reference name, a note or tags if you want them on the transfer, then press Create transfer. Tags are saved on the transfer in Shopify too, so its page in the admin shows the same ones.

Like the suggestion buttons, this creates a draft transfer in Shopify. When it's ready to go, press Mark in transit on the transfer's page in Stockroom to ship everything in one shipment - or pick and ship it in Shopify admin as usual. Partial picks and tracking numbers stay admin work.

Your transfers, synced both ways

The list mirrors Shopify: All, Transferred, Open, and Canceled tabs - the list opens on All - with search by transfer number, reference, or location, and a Tag filter once any of your documents carries a tag. Transfers created in Shopify admin appear here on their own; anything Stockroom creates or receives shows up in admin the same way. The transfer document itself - items, quantities, shipments, tracking - is always edited in Shopify; use Open in Shopify on any transfer to jump straight to it. The one thing you can change from Stockroom is the tags: the Notes and tags card on a transfer's page shows Shopify's note and lets you add or remove tags in any status. They are written to the transfer in Shopify, so a tag added in either place shows in both; if Shopify will not accept a change on an older transfer, the tags go back to what Shopify has.

A transfer's page shows one items table with each product's total, shipped, received, rejected, and outstanding units added up across every shipment, a compact list of the shipments themselves with their status, dates, and tracking, and a timeline of what happened when - created, shipped, and received.

Receiving a shipment

Once a shipment is in transit, open the transfer in Stockroom and press Receive items on that shipment.

  • Counts start pre-filled to everything outstanding, so the "it all arrived" case is one click.

  • Counting as you unpack? Press Zero counts, then scan barcodes or SKUs - each scan adds one to the item's accepted count.

    Scans make a sound here, and when adding items to a new transfer: a short beep when the scan lands, a double beep when that item is already at its outstanding quantity, and a low buzz when nothing matches. Sound on / Sound off appears next to the field after the first scan and is remembered on that device.

  • Use the Rejected column for damaged or wrong items: rejected units are recorded on the transfer but never enter your stock.

Press Receive and Shopify does the inventory math - accepted units land at the destination, and the transfer's progress updates in both places. Partial receives are fine; the shipment stays receivable until everything is accepted or rejected.

Printing labels

Press Print labels on any transfer to label what you're moving - handy when items get re-shelved at the destination. Rows seed at the transfer quantities, and the same label formats and field checklist you know from purchase orders apply.

The same menu also has Export CSV: a spreadsheet of the transfer's items with SKU, product, variant, barcode, price, compare-at price, and the total, shipped, received, rejected, and outstanding quantities - one row per item, ready for reporting or a hand-off.

Good to know

  • Transfers need updated Shopify permissions. If the view shows a banner about data access, close and reopen Stockroom and approve the prompt - your transfers sync in automatically afterwards.

  • Locations hidden in SettingsInventory & COGSLocations never appear as an origin or destination. The From and To fields pre-fill with your last transfer's route.

  • Transfer movements show up everywhere you'd expect: the product page's inventory history (shipped out at the origin, received at the destination) and the Incoming click-through on the Products list, which lists in-transit transfers beside open purchase orders.

  • Like the rest of Stockroom's core, transfers are free.
