Suggested transfers: fill a transfer from your reorder points

Press Suggest on a new transfer to size what to move from one location to another, and use the card a purchase order shows after receiving.

Stockroom sizes transfers from the same reorder points and max levels that power the Reorder page: a location at or below its reorder point on an item is short, a location holding more than its max level of it has stock to give, and the suggestion is the gap back up to the short location's max, capped by what the other one can spare. It reaches you in two places - the Suggest button on a new transfer, and a card on a purchase order right after a delivery lands.

Suggest on a new transfer

In Inventory, open the Transfers view and press New transfer. Pick the From and To locations, then press Suggest next to the product search.

  • Stockroom adds one line for each item the destination is at or below its reorder point on that the origin holds above its max level, with the quantity that fills the destination back up to its max - never more than the origin has spare. An item already on the transfer has its quantity set to the suggestion; new items are added below it.

  • Units on any open transfer are treated as already moving, toward the destination's shortage and out of the origin's excess. A forgotten draft can quietly hide suggestions for the items on it - delete or ship it and they come back.

  • If nothing qualifies for that pair of locations, a note says so: Nothing to suggest right now. Suggestions appear when [destination] is at or below its reorder point on an item that [origin] holds above its max level. Try the other direction, or set levels on the items you expected to see.

  • Review the lines like any other transfer - the At origin and At destination columns show each item's stock before and after the move - then press Create transfer. That creates a draft transfer in Shopify; nothing moves until you ship it.

The Transfers view itself carries no standing list of suggestions. Suggestions are worked out when you press the button, from stock as it is at that moment, for the two locations you chose.

How the levels drive a suggestion

  • Set reorder points and max levels on the Suggested levels view under Inventory, or on any product page - without them, there is nothing to suggest. What each level means is in Set reorder points and stock levels.

  • A location's max level is what marks it as having stock to give - anything above that number is excess a suggestion can move. A saved max level of 0 is a valid setting: it means the location shouldn't hold that item at all, so every unit there counts as movable. That's the recommended setup for a central warehouse that pushes stock out to stores - save a max level of 0 on the warehouse for the items it distributes, and set normal reorder points and max levels at each store.

  • The reorder point is the trigger ("suggest when stock gets this low") and the max level is the target ("fill back up to this") - so a location already sitting at its max needs nothing. If you set the max level equal to the reorder point, a store holding exactly that amount gets no suggestion; give the max some room above the reorder point (say reorder point 3, max level 6) and a store dipping to 3 gets a 3-unit suggestion.

Suggested transfers after receiving

If you stock more than one location, Stockroom checks the items you just received the moment the receipt lands. When another location is at or below its reorder point on one of them - and the receiving location now holds more than its max level - the purchase order shows a Suggested transfer card: which location is short, and how many units to send to fill it back up to its max.

Create transfer makes a draft transfer in Shopify - nothing moves until you ship it. The button unlocks a few seconds after receiving, once Shopify has recorded the new stock. After creating, the card offers Open transfer and Mark in transit, and if two locations are short you get one button per destination. Dismiss hides the card for that delivery.

The card uses the same reorder points and max levels as Suggest on a new transfer.

An order created with One order, split later on the Reorder page always shows a card after a delivery, opening with This order was sized for and the locations it covers - at the very least the Move stock to another location line, even when no location qualifies for a suggested amount. It only ever proposes the locations the order was sized for; a third location that happens to be low is left out. The amounts still come from that day's stock, not from anything set aside when the order was placed.

When the receiving location has nothing spare, you get a shorter card headed Low stock at another location instead. It names the location that is below its reorder point and shows both locations' numbers on every item, but it does not suggest an amount: if the location that took the delivery is not above its own max level, any split Stockroom picked could leave that one short instead. Start a transfer opens the New transfer screen with the items you just received already on it and the quantities blank, so you can set them against the before and after stock it shows at both ends.

If there are no levels to compare at all and you have more than one location, the order shows a single line offering Move stock to another location - no numbers and no suggestion, just the way through to a transfer with the delivery's items already loaded. On a one-location store nothing appears. Either way Dismiss hides it for that delivery, and the next delivery offers again.

Good to know

  • Suggestions need at least two active locations, plus reorder points and maximum levels on the items you want watched.

  • Stock already on its way counts: a location expecting units from an open purchase order or an in-transit transfer isn't treated as low, even if the shelf count sits below its reorder point.

  • Only active products that track inventory appear. A draft or archived product never generates a suggestion, even with levels saved - and neither does a variant marked Exclude from reorder.

  • A max level you've saved yourself counts at any value, including 0. Suggested levels you haven't applied only mark a location as having excess when the suggestion is above 0.

  • Like the rest of Stockroom's core, suggested transfers are free.
