Mapping custom order fields with Shopify and QuickBooks Desktop

Learn how to effectively map custom fields for orders synced from Shopify to QuickBooks Desktop, ensuring seamless integration of important data in your Shopify orders

The ability to map custom fields when syncing orders is included in our MyWorks Sync for Shopify and QuickBooks Desktop plans  (Grow and above). This supports mapping any field in a Shopify order to a text field in a QuickBooks order as we sync the order from Shopify to QuickBooks. 

Normally, the custom fields we can support to map would be a text or date field in Shopify and QuickBooks. If the target field in QuickBooks is a dropdown of pre-set values, it's typically not possible to simply map these together, and a more advanced mapping may be needed.

Examples

MyWorks is very flexible around the QuickBooks order fields we're able to sync with. Basically any text order field made available to us by Shopify and QuickBooks can be used. 

A few examples of popular Shopify fields MyWorks supports are:

  • Order Notes
  • Order Tags
  • PO Number
  • Order Phone Number / Email
  • Custom Shopify Metafields
  • Any other text field in the Shopify order

A few examples of popular QuickBooks Desktop fields MyWorks supports are:

  • Due Date
  • Ship To / Ship Date
  • PO Number
  • FOB
  • “Other”
  • Check Number
  • Extra / blank line item within the QuickBooks order

Getting Started

To map a custom field for Shopify orders as they sync to QuickBooks, simply visit MyWorks Sync > Map > Custom Fields in your Shopify admin!  

 

Mapping Shopify order metafields

Shopify supports adding custom metafields to orders in Shopify, and MyWorks also supports mapping these to QuickBooks. They can be set in Map > Custom Fields with a metafield_ prefix before them like the above example. 

QuickBooks Custom Field Tips

QuickBooks Desktop includes the ability to create & manage custom text fields in Invoices, Sales Receipts & Sales Orders. This can be found in the Formatting > Customize Data Layout menu in a transaction in QuickBooks.

As shown in the below example, core system fields in QuickBooks can be renamed; and custom fields (ex. Membership) can be shown and renamed.
