Builds in QuickBooks and Xero with MyWorks Sync

How issuing components, recording builds and disassembly post to your components, work in progress and finished goods accounts through MyWorks Sync - one journal per build or one a day.

If you sync Stockroom to QuickBooks Online, QuickBooks Desktop or Xero with MyWorks Sync, the movements a build makes can post to your books as value - the same way the cost of goods sold feed does. Nothing about item quantities is sent; your QuickBooks items stay non-inventory.

What posts

  • Issue components - Components inventory down, Work in progress up, at the cost the components carried.

  • Return to stock - the reverse.

  • Record build - Finished goods up for the finished units; Work in progress down for what was issued, Components down for anything that left the shelf at that moment, and the run's share of Build charges (Labor, Overhead) to the offset account you map.

  • Record unbuild - Components up for what came back, Finished goods down for what was taken apart, and the difference as a gain or loss.

  • Undo reverses the posting.

Scrapped units. If a build record includes units you scrapped, their share of the components and charges posts to a separate scrap line (map it to a waste or spoilage expense in MyWorks) instead of into finished goods - so the finished goods value is only the good units, and the waste is visible in your books as a line of its own.

Set up in MyWorks

In MyWorks, map the accounts Stockroom refers to by role: Components and Finished goods (often your existing inventory asset; map them to separate accounts to see the move), Work in progress, a Build charges offset (so labour you already pay through payroll is not expensed twice) and a gain/loss account. Then choose how to post: one journal per build record, deep-linked from the build page, or one daily journal of totals.

On the build page

Once MyWorks has posted something, an Accounting section on the build lists each posting with its status - Synced to QuickBooks with a link to the journal, queued, or the error message if something (usually a missing component cost) stopped it.

Good to know

  • A build record with a component that has no cost is not posted - add the cost and re-record, or the posting stays flagged.

  • Builds recorded before you connect are not back-filled.

  • This is the inventory-value side only; bills for what you buy and COGS for what you sell keep flowing through their own MyWorks feeds.
