Syncing Builds from Shopify (Stockroom) to QuickBooks Online

Book Stockroom build activity into QuickBooks Online as journal entries - components, work in progress, finished goods, labor and scrap. Soar plan.

On the Soar plan, MyWorks Sync can book the build activity from the Stockroom app into QuickBooks Online as journal entries. As your shop issues components to the floor, records builds, and books scrap, the value moves between your Components, Work in Progress, and Finished Goods accounts - plus the labor and overhead you add to builds.

Only journal entries are created. Quantities never change in QuickBooks, and your QuickBooks items stay non-inventory - Stockroom remains the system of record for stock counts, while QuickBooks carries the value.

Turning it on

  • In Settings > Automatic Sync, under Stockroom > QuickBooks Online, turn on Builds. Syncing begins from the day you enable it - earlier build history does not post.

  • In Settings > Inventory & COGS, open the Builds (Stockroom) card. Choose how entries are created under Journal entries: One per build movement or One per day.

  • Map all six accounts: Components Account, Work in Progress Account, Finished Goods Account, Build Charges Offset Account, Variance Account, and Scrap Account. Nothing posts until all six are saved - Variance and Scrap only appear on some builds, and a missing account would otherwise fail a build after part of it already booked.

Components and Finished Goods start on the same inventory asset account the COGS sync uses. Keeping them on one account keeps a single inventory balance; splitting them into separate accounts makes the build movement visible on your balance sheet.

What gets booked

Every build movement in Stockroom becomes one balanced journal entry (or is rolled into that day's entry): components issued to the floor, unused components returned, a build recorded, or a disassembly. Labor and overhead added to a build post into Finished Goods with the offset going to your Build Charges Offset account, so those costs are not expensed twice. Scrapped units post to your Scrap account at that run's unit cost.

Entries are numbered STK-BLD- plus the posting number (daily entries use STK-BLD-D- plus the date), and each build's page in Stockroom shows the sync status with a link to the entry in QuickBooks.

Undoing a build

When a build movement is undone in Stockroom, its journal entry is deleted in QuickBooks and the build page shows nothing outstanding. If the entry falls inside a period your accountant has closed, it is never deleted or edited - a reversing entry posts on the first open day instead. In daily mode, the day's entry is rebuilt to match what remains.

Good to know

  • A build whose components had no cost in Stockroom will not post - the build page shows an error asking you to undo and re-record it once costs are set. The corrected record then syncs automatically.

  • Entries post in your QuickBooks home currency only. A store recording builds in a different currency will see an error on the build page rather than a converted amount.

  • Do not renumber these journal entries in QuickBooks - the entry number is how the sync recognizes its own entries and avoids duplicates.

  • Switching between One per build movement and One per day is safe at any time - existing entries are converted, never doubled.

  • A backdated backlog never posts into closed books - anything dated inside a closed period books on the first open day, with a note on the entry explaining the shift.
