Syncing Purchase Orders from Shopify (Stockroom) to QuickBooks Desktop

Learn how to seamlessly sync purchase orders from Shopify's Stocky app and QuickBooks Desktop for efficient inventory and payables managemen

MyWorks supports syncing Purchase Orders created in our Stockroom app into QuickBooks Desktop, which helps automate the flow of Purchase Orders and reduce manual entry in QuickBooks Desktop. This feature is included in MyWorks' Scale and Soar plans.

Shopify discontinued the Stocky app on August 31, 2026, and MyWorks no longer syncs Stocky purchase orders. If you used Stocky, switch to our Stockroom app - it's free, and a one-click migrate from Stocky.

Note: Shopify's API does not yet support API access for any app to interact with Purchase Orders created directly in Shopify. When Shopify releases access for this, MyWorks will also support syncing Purchase Orders created directly in Shopify.

Overview

MyWorks can sync new Purchase Orders from Stockroom into QuickBooks Desktop as either:

  • A Purchase Order,

  • A Purchase Order & a Bill,

  • A Bill

When a new Purchase Order is created in Stockroom, MyWorks will automatically sync it to QuickBooks, in one of the above formats, as selected in our settings.

MyWorks uses the name of the vendor/supplier in the Stockroom Purchase Order to determine the matching QuickBooks vendor the Purchase Order/Bill should sync in to. This Vendor would need to be already present in QuickBooks, exactly matching the Supplier name of the Purchase Order in Stockroom - or, if no match is found, MyWorks can sync it to a fallback vendor you name in Settings > Purchase Orders.

Getting Started

First, visit MyWorks Sync > Settings > Automatic Sync. In the Stockroom > QuickBooks Desktop section, turn on Purchase Orders. Once it's on, a Purchase Orders tab appears in Settings, where the options below live.

Settings

Once purchase order syncing is enabled, visit the Settings > Purchase Orders tab in your MyWorks app. This tab only appears while Purchase Orders is turned on in Settings > Automatic Sync. There, you'll see the Purchase Order Options that control how Purchase Orders are synced into QuickBooks.

These settings include:

  • Sync Purchase Orders as - a Purchase Order, a Purchase Order + Bill, or a Bill.

  • A/P Account for Bill - the Accounts Payable account a Bill should sync to.

  • Purchase Order Number Format - use the Stockroom PO number (optionally with a prefix like "PO-"), or the next available QuickBooks number.

  • Use QuickBooks Vendor as fallback if no name found - the QuickBooks vendor to use when no vendor matches the Stockroom supplier name.

  • Sync Purchase Orders at this Stockroom Status - the Purchase Order syncs once it reaches Ordered, Partially Received or Received in Stockroom.

  • Bills for received Purchase Orders - one Bill per Purchase Order, or one Bill per receive - covered below.

  • Sync Bills at this Stockroom Status - the Bill syncs once the Purchase Order reaches this status. For example, choose Received to only create the Bill once the Purchase Order is fully received.

  • QuickBooks Bill Number - the Stockroom field used as the Bill's number in QuickBooks: the Stockroom Purchase Order number (the default, following the Purchase Order Number Format above), the Stockroom Reference number, or the Supplier invoice number. If the chosen field is blank when the Bill syncs, the Purchase Order number is used instead. QuickBooks limits Bill numbers to 20 characters - a longer value is shortened, and the full value is kept in the Bill's memo instead. Otherwise, whichever of the reference and supplier invoice number isn't used as the Bill number is added to the Bill's memo.

  • QuickBooks Item for Shipping Charges, QuickBooks Item for Adjustments / Other Charges and QuickBooks Item for Tax - the QuickBooks items used for those lines on the Purchase Order or Bill. Leave the Tax item empty to not sync purchase order tax.

Some options only appear for the format you've chosen - for example, the Bill options are hidden when syncing as a Purchase Order only.

One Bill for each receive

By default, MyWorks creates one Bill per purchase order. If your purchase orders arrive in multiple shipments - each with its own supplier invoice - set Bills for received Purchase Orders in Settings > Purchase Orders to One Bill per receive.

Each receive you record in Stockroom then syncs to QuickBooks as its own Bill, containing just the items, quantities and costs from that receive.

  • The Bill's number is the supplier invoice number entered on the receive in Stockroom. If a receive doesn't have one, MyWorks numbers the Bill from the purchase order number and the receive - for example, PO-1003-R81. The QuickBooks Bill Number setting doesn't apply to per-receive Bills.

  • The Bill is dated the day the items were received, and QuickBooks fills in the due date from the vendor's payment terms.

  • The receive's share of any purchase order tax is included, using the QuickBooks Item for Tax. Shipping and other charges aren't included on per-receive Bills, as they belong to the whole purchase order rather than a single shipment.

  • Undoing a receive in Stockroom voids its Bill in QuickBooks, so the audit trail stays.

  • Purchase orders that already have a Bill in QuickBooks keep that single Bill - the setting applies to purchase orders billed after you switch.

Additional Info

  • When syncing a Purchase Order + Bill into QuickBooks, the Purchase Order and Bill will be linked together, marking the Purchase Order as Received.

  • Purchase Orders and Bills are created in QuickBooks on your next Web Connector run.

  • MyWorks only automatically syncs Purchase Orders created in Stockroom after you enable purchase order syncing. Past Purchase Orders can be pushed from MyWorks Sync > Push > Purchase Order.
