Syncing product price and cost from Shopify to QuickBooks Desktop

Automatically update product price and cost values in QuickBooks Desktop any time they're changed in Shopify - included in our Grow plans and above.

MyWorks Sync can automatically update your product prices and costs in QuickBooks Desktop when they change in Shopify - keeping QuickBooks in step with the pricing you manage in your store. This feature is included in our Grow plans and above.

Enabling price & cost sync

In MyWorks Sync, head to Settings > Automatic Sync. In the Shopify > QuickBooks Desktop section, you'll see two toggles:

  • Pricing - updates the price on the matching QuickBooks product when a product's price is changed in Shopify.

  • Cost - updates the cost field on the matching QuickBooks product when a product's Cost per item is changed in Shopify.

You can enable either one, or both - they work independently.

How it works

Once enabled, MyWorks Sync checks for Shopify price and cost changes every few minutes, and queues updates for any products that are mapped or synced to a QuickBooks product. The updates are applied to QuickBooks during your next Web Connector sync.

This applies to changes made after the setting is enabled - your existing catalog isn't swept or changed when you turn it on. To update products that were synced before enabling this, see the next section.

Each update only touches the price and/or cost fields on the QuickBooks product - your accounts, descriptions, and other product details in QuickBooks are never modified by this sync.

Updating existing products

To push current Shopify prices/costs to products that are already synced, head to Push > Product (or Variation for products with variants):

  • Use the Only Mapped filter to show products already connected to QuickBooks.

  • Select the products you'd like to update, then click Push.

For already-synced products, this updates their price and/or cost in QuickBooks - based on which of the two toggles you have enabled.

Good to know

  • Only products that are mapped or synced to a QuickBooks product are updated. Unmapped products are skipped - you can map them on the Map > Product page first.

  • Cost sync updates the product's cost field in QuickBooks only - it does not sync or affect COGS, average cost, or inventory valuation in QuickBooks.

  • Inventory, Non-Inventory, and Service item types are supported. If a Non-Inventory or Service item is set up in QuickBooks as sales-only, it has no cost field - so only its price is updated.

  • QuickBooks products that use a percent-based price are skipped, so their setup isn't changed - you'll see a note in MyWorks Sync > Log if this happens.

  • Updates appear in QuickBooks after the next Web Connector sync - so the timing depends on the sync interval set in your Web Connector.

  • We recommend choosing one direction per field: either sync prices from Shopify into QuickBooks (this feature), or from QuickBooks into Shopify (see Syncing product price and cost from QuickBooks Desktop to Shopify) - not both at once.

  • Every update - and anything skipped - is recorded in MyWorks Sync > Log, so you can always see what was changed and why.
