Update selling prices from a purchase order

Enter new retail prices while you build a purchase order and push them to Shopify when you save, order, or receive - always with a confirmation.

A new cost often means a new selling price. Stockroom lets you enter prices while you build a purchase order, then offers to update your products at the moments it makes sense - when you save, when you mark the order as ordered, or when you receive. It never changes a price without asking.

Turn on the price columns

On a draft purchase order, open the Columns menu next to the sort control in the items section and switch on Edit prices (and Compare-at, if you use sale pricing). Both are off by default so the editor stays lean - your choice is remembered for next time. It carries past the draft too: an ordered or received purchase order has the same Columns menu, with Retail / margin and Compare-at in it, so the prices you set while buying are still on screen when the stock arrives.

Each line gains price fields. Enter what the product should sell for - Stockroom never invents a price for you.

Push when you save

Save an order where you've entered new prices and Stockroom asks: Update product prices? "You entered new prices on this order. Update your products now, or keep them to confirm when you order or receive."

Update prices pushes them to Shopify right away - even on a draft. Not now keeps them on the order without nagging: you're only asked again if the prices change. Only selling prices push at save; costs wait until you order or receive.


Or when you order or receive

Marking a PO as ordered or receiving it opens the cost and price confirmation - Order & update prices or Receive & update prices. The Update prices card can also suggest new prices that hold today's margin at the new cost. It reads the item's current cost and current price in Shopify to work out the margin you're making now, applies that margin to the cost you entered on the order, and rounds up using Round to in the same dialog (.99 endings by default). There's no suggestion when there's no margin to hold - no cost recorded on the item, or it's selling at or below cost - and every suggestion is editable before you confirm, and it warns if a new price would reach the compare-at price (the sale badge would stop showing).

You can also type new prices while you count the delivery: in the receive section, open the Columns menu and switch on New price. Each line gains a price field beside Unit cost, so a long invoice is one pass - count, cost and price on the same row - and everything you typed is waiting, pre-filled, in the confirmation when you press Receive stock. Leaving a line’s price empty leaves that product’s price alone, and nothing changes in Shopify until you confirm.

If the products on the order have other variants - other sizes or colours - the Update prices card offers Also update the other variants of these products, with the exact count it will touch. Tick it and those variants take the price you entered here, exactly as typed, so a range that sells at one price stays aligned without you repricing it size by size. One deliberate exception: if the order carries two variants of the same product at two different prices, that product is left alone - there is no single price to spread. The Update costs card has the same checkbox for costs.

Costs also change when no purchase order is involved - a price list import, an edit on the product, a sync from Shopify. Those never reach this dialog, so the Price review report collects them: every item whose cost has moved since its price was last set, the margin you used to hold against the margin you hold now, and the price that restores it. Good to know

  • Price updates go to your Shopify products, so every sales channel sees them - and the product's price history in Stockroom records the change.

  • Nothing pushes without the confirmation dialog - declining leaves your products untouched.

  • The PO shows the pushed prices immediately; Shopify catches up within a few moments.
